What is the date and location of the ColegauCymru Annual Conference 2023? 

The ColegauCymru Annual Conference will take place on Thursday 12 October 2023. The Conference venue is Hilton Hotel, Cardiff.  

What are the event opening hours? 

  • Exhibitors to set up between 7.00am - 7.45am
  • Registration, Exhibition space and refreshments from 8.00am 
  • Conference begins at 9.00am 
  • Conference closes at 4.15pm 

Registration and Booking 

How do I register? 

You need to book your place online. If you have any queries regarding registration which are not answered on this page, then please contact Rachel.Rimanti@ColegauCymru.ac.uk 

How much does it cost to attend? 

Conference prices can be found on the Eventbrite Online Booking Form.

What payment methods are accepted? 

We accept payment by credit card, debit card or BACs transfer. Please note that BACs transfers can only be received once an invoice has been sent, which can be provided once registration is completed and included in the confirmation email. Credit card payments can be made via the online booking page at the time of booking. If you have any problems with your payment, please contact Gill.Barclay@ColegauCymru.ac.uk  

Can I amend my booking? 

If you need to amend your booking once you have registered, please do so directly via the link included in your confirmation email. 

May I register more than one person from my organisation? 

Yes, you may register as many colleagues as you wish. 

May I bring an additional guest? 

Anyone can attend the Conference as a fee-paying delegate. ColegauCymru does not, however, provide free passes for delegates.

When will I receive a confirmation of my registration? 

You will receive a confirmation email within a few hours of submitting your registration. The confirmation email will be sent to the registration contact’s email address which you entered, who will then need to forward it on to additional attendees within the group booking, if appropriate. If you have not received confirmation after 24 hours, please contact Rachel.Rimanti@ColegauCymru.ac.uk  

Amendments to your booking

What if I need to cancel my attendance?

The online registration is a legally binding agreement and so we do recommend that you only register once you are sure of your attendance. Further information on our cancellation policy below. 

What are the terms and conditions of booking? 

ColegauCymru reserves the right to cancel or amend the timings of the Conference and workshop sessions at any point up to the stated start time of the Conference.

If you wish to cancel your attendance at the Conference, please do so directly via the link included in your confirmation email. 

If you cancel your booking, ColegauCymru shall refund to you a percentage of the Conference fee paid, as an administration charge, on the following basis: 

  1. If the notice of cancellation is received on or before Thursday 28 September 2023, we will refund 100% of the event fee, less Eventbrite charges.
     
  2. If the notice of cancellation is received on or after Friday 29 September 2023, no refund is available.
     
  3. If the in-person Conference at Hilton Hotel, Cardiff, is unable to go ahead due to government guidance regarding Covid-19, the event will be changed to an online/virtual event. If this occurs, your booking with remain valid and you will be given access to the event via an online platform. No refund will be issued unless the notice of cancellation is received on or before Thursday 28 September 2023, in accordance with these terms and conditions. Any changes to the Conference relating to Covid-19 will be in line with government guidance at the time of the event and attendees will be given notice as it is available. 

Is it possible to make a substitution? 

Substitutions of delegates may be accepted, via the online registration website, before the event and provided that the proposed substitute delegate is from the same college/organisation as the original delegate. 

How do I make my workshop choices? 

Preferred breakout session choices can be selected as part of the registration process.

Where can I find the agenda?

When will I receive my final information? 

Final information will be sent 10 days prior to the Conference. If you have not received details one week before the event, please contact Rachel.Rimanti@ColegauCymru.co.uk. ColegauCymru cannot be held responsible for non-arrival of information. 

When will I receive my name badge? 

On arrival at Hilton Hotel, Cardiff, you will be able to sign in and collect your name badge at the designated registration desk.  

At the Conference 

Is access to the internet is available at the Conference? 

There will be free Wi-Fi access at Hilton Hotel, Cardiff. 

What is the dress code? 

The dress code for the Conference is business attire.

I have additional needs/dietary requirements

You can note any additional needs or dietary requirements you may have on the online booking form. 

Travel and parking facilities 

Where possible, we ask that you consider travelling by public transport or car share.

After the event 

Can I get copies of the materials presented at the Conference? 

Selected presentations will be available to access online following the Conference.
